Job Description

Trustpoint.One has an immediate opening for a detail-oriented Conflicts and Intake Assistant to join the legal operations team of a respected mid-sized law firm. This is a hybrid position based in the firm's Washington, DC or NYC office. Candidates should expect to be in the office five days a week for the first 30 days for onboarding and training. After that period, the role may shift to 1–2 days remote per week, depending on performance and management approval. This position plays a key role in supporting the firm's conflicts and new business intake processes by maintaining accurate records, generating reports, and coordinating critical compliance-related tasks.

Key Responsibilities:

  • Generate conflict reports for new business and stock purchases to be reviewed by senior team members or stakeholders
  • Research and maintain corporate affiliations and family trees to support accurate conflicts checks
  • Maintain documentation related to conflicts, intake, and compliance, including ethics screens, restricted securities, and training materials
  • Coordinate review and tracking of incoming contracts, ensuring timely feedback and execution
  • Support data maintenance, software testing, and implementation for conflicts and business intake systems
  • Review and input billing rates for new clients and matters
  • Manage client/matter opening and closing processes electronically
  • Maintain organized files of signed engagement letters and waivers
  • Provide general administrative support and assist with other duties as needed

Qualifications:

  • Bachelor’s degree preferred; four years of relevant experience may be accepted in lieu of a degree
  • Prior experience in conflicts or intake at a law firm required
  • Must be flexible and willing to work additional hours as needed
  • Exceptional organizational skills with strong attention to detail
  • Experience with Intapp preferred
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management tools
  • Strong interpersonal skills and ability to work both independently and collaboratively
