Job Function: The Executive Director of Communications and Enrollment (EDCE) is responsible for developing and managing all district communications and enrollment activities in support of TBP’s mission. The EDCE is responsible for ensuring positive public relations, building TBP’s reputation for proactive and accurate communications, for cultivating and promoting a positive organizational culture that is in line with the values and mission of the District, and optimizing the enrollment function to improve the conversion from number of applications received into students attending school to help ensure TBP’s district enrollment goals are met. ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following. Other duties may be assigned by the Chief Development Officer. Summary Duty: Create, manage, and execute a comprehensive strategic communications plan designed to meet or exceed communication objectives throughout the organization and specifically geared towards providing great customer service to all stakeholders and potential stakeholders.
• Oversee and grow communications and enrollment efforts to achieve the following goals: - Strategically meet/exceed student enrollment established targets - Build strong community relationships within all communities where TBP operates - Increase local, state, and national awareness of Trinity Basin Preparatory, Inc., the mission of the organization, and the academic success that TBP delivers - Create and execute effective communications to aid in maintaining and recruiting high quality employees - Assist in TBP’s efforts to attract and develop relationships with potential corporate, non-profit, and individual donors
• Create an annual communication plan that aligns with TBP’s strategic communication plan and includes a calendar of standard communications for the school year.
• Annually review communication policy and procedures and propose necessary changes. Ensure all communication requirements are covered in TBP’s annual communication plan.
• Serve as an information liaison between TBP and its stakeholders.
• Create, implement, and manage a crisis communication plan.
• Manage and maintain the emergency text messaging system for parents and staff. Continually monitor system usage, engagement, and other tools and channels to ensure emergency communications reach as many recipients as possible within a reasonable timeframe.
• Create and publicize media alerts such as press releases, email announcements, newsletters, etc. and coordinate content with other areas of the organization as needed.
• Maintain positive connections with various news media in communities served by TBP. In collaboration with the marketing department, manage and maintain communications contained in social media accounts.
• Collaborate with marketing to help ensure all digital and print media include positive and appropriate brand messaging.
• Take the lead in collaborating with district staff on internal and external communication requirements for special events, including, but not limited to: Convocation, Employee Recognition (e.g., Teacher of the Year), community parades, etc.
• Take the lead in collaborating with district staff to design, prepare, and edit district internal and external publications, including newsletters, recruitment brochures, programs for special events, posters, handbooks, annual reports, and other publications.
• Ensure intranet/website communications are current, accurate, and updated in a timely manner
• Develop and publicize communications related to TBP’s goals, objectives, performance, positive trends, new highly impactful learning environments, events, and other positive news that should be celebrated both internally and externally.
• Maintain an archive of significant district communications.
• Collaborates with staff to develop and institute communication-related initiatives supporting TBP culture and the District’s vision and strategic goals.
• Responsible for working with HR and others to proactively engage employees and work to address any opportunities for improvement regarding communications.
• Assist in facilitating effective communication between and among all departments, locations and levels throughout the organization.
• Helps coach and train staff on effective communication strategies and techniques, including emails sent by employees and verbal/non-verbal communication that exists within any TBP facility or location.
• Direct the Enrollment team and collaborate with Marketing/Recruitment with regard to designated campus-based staff who support the enrollment/recruitment function.
• Collaborate with Administrative and Campus Leadership to create, communicate, and implement/execute an annual data-driven plan designed to start the next school year with the targeted number of students on the first day of school. The annual plan will outline strategies, roles, and responsibilities to connect with new families in the communities TBP serves, convert new families to apply, enroll, and attend a TBP school, engage existing parents throughout the school year, and retain existing students for future school years.
• Ensure TBP is compliant with all state requirements related to student enrollment for open-enrollment charter schools
• Leverage technology and enrollment staff to collaboratively and continuously improve the customer service experience for parents when applying, enrolling, and re-enrolling.
• Enhance communication protocols for the application/enrollment process designed to provide parents with accurate and up-to-date status for their students’ application/enrollment.
• Maintain enhanced data and related analysis addressing why parents withdraw their students from TBP or opt not to attend TBP after applying. Use the data/analysis to develop/execute an annual improvement plan designed to help eliminate similar and preventable student losses in the future. • Understands and complies with all district policies, procedures, and expectations as communicated by administration.
• Assist with other projects as assigned by CDO and/or Superintendent.

The EDCE must have and maintain an overarching passion for education and an unending desire to transform the mission of the school into a reality. The EDCE must demonstrate the ability to understand and communicate necessary information to TBP’s internal and external customers and must be dedicated to collaborating with other members of the organization to ensure stories of support and academic success at TBP are routinely written and communicated broadly to all TBP’s stakeholders and the enrollment function is operating efficiently and effectively. • Bachelor’s degree in English, journalism, communication or related field from a four-year college or university.
• Master’s degree preferred. • School district experience preferred.
• 7+ years’ related journalism or general communication and business management experience preferred.
• Multilingual preferred - English and Spanish
