Job Title: Human Resources Generalist
Position Summary:
We are seeking a detail-oriented and proactive Human Resources Generalist to join our team. Under general supervision, this position performs a variety of essential HR duties including recruitment, pre-employment processing, employee on-boarding, data entry, file maintenance, and assisting with employee relations. As an HR Generalist, you will advise management and staff on employment laws, regulations, and HR policies. This position reports to the Director of Human Resources and plays a crucial role in maintaining the confidentiality of highly sensitive information.
Essential Duties and Responsibilities:
Recruitment (40%)
Coordinate all aspects of the Agency-wide recruitment process.
Research and initiate new recruitment sources through websites, social media, publications, newsletters, colleges, and universities.
Develop and maintain effective recruitment relationships with colleges, universities, and other sources.
Administer the employee referral program.
Ensure recruitment activities comply with local, state, and federal regulations.
Attend career fairs and ensure adequate recruitment materials are available.
Coordinate temporary staffing needs and use of staffing agencies.
Maintain a vacancy log and keep the HR Director informed of significant issues.
Recruit and facilitate the hiring of qualified applicants, collaborating with departmental managers to understand job requirements.
Create and maintain job postings and job descriptions.
Review resumes and applications for minimum qualifications and provide qualified candidates to hiring managers.
Organize the Jobs In-box and Outlook folders to ensure accurate and timely management.
Maintain the Applicant Tracking System (ATS) in the HR database.
Communicate regularly with hiring managers and the HR Director about vacancy statuses.
Send response emails/letters to interviewed applicants.
Code recruitment vendor invoices, submit for approval, and forward to Finance for payment.
Provide recruitment, interviewing, selection, and ATS training for management.
Pre-employment, On-boarding & Recordkeeping (40%)
Prepare job offer communications and documentation for applicants and new hires.
Coordinate key ordering and distribution in partnership with the Facilities Manager, adhering to key policy.
Create, distribute, and track employee badges.
Maintain and organize employee personnel files, ensuring accuracy and compliance.
Ensure I-9 forms are completed and properly stored.
Perform accurate and timely data entry into HR databases.
Maintain the DMV Pull Notice Program for employees, AmeriCorps members, and interns.
Code invoices from pre-employment vendors and submit them for approval and payment.
Assist with the creation and maintenance of tracking and communication forms.
Other Responsibilities:
Provide functional guidance and training to other HR staff members.
Participate in special HR projects and employee recognition efforts.
Assist with employee relations and other HR tasks as assigned.
Maintain confidentiality in all HR-related matters.
Qualifications:
Previous experience in human resources, recruitment, or administrative roles is preferred.
Strong organizational and communication skills.
Proficient in using HR software, including Applicant Tracking Systems (ATS), and Microsoft Office Suite.
Ability to maintain confidentiality and handle sensitive information with professionalism.
Knowledge of employment laws and HR regulations.
Ability to work independently and as part of a team.
