Job Description

🌍 Position Title: Intake Specialist I – Finnish or Swedish Speaking

📍 Location: Austin, Texas

🕒 Schedule: Monday–Friday, 8:00 AM – 5:00 PM CST

🏠 Work Arrangement: Hybrid (3 days onsite, 2 days WFH after training)

Overview:

We are seeking a bi- or multi-lingual Intake Specialist fluent in Finnish or Swedish to support our Outside U.S. (O.U.S.) complaint intake operations. As the first point of contact for customers reporting product complaints, you will play a vital role in ensuring accurate data entry, effective triage, and smooth coordination across internal teams.

Key Responsibilities:

  • Manage complaint intake via phone, email, and OneTrack system
  • Assess incoming complaints for missing information and follow up with customers to collect necessary data
  • Identify and assign the appropriate complaint code
  • Coordinate logistics for complaint samples and replacements
  • Determine and process replacements, credits, or warranty claims
  • Act as a liaison for translation and multilingual communication needs
  • Collaborate with internal teams for adverse event reporting
  • Facilitate customer follow-up by escalating cases for reply letter creation

Required:

  • Fluency in Finnish or Swedish
  • High school diploma or equivalent
  • 1–2 years of experience in a call center or customer service setting (preferably healthcare or regulated industry)
  • Strong written and verbal communication skills
  • Attention to detail and critical thinking ability
  • Comfortable working independently with minimal supervision
  • Computer proficiency and ability to navigate multiple systems

Preferred:

  • Associate’s or Bachelor’s degree
  • Familiarity with pharmaceutical, medical device, or biological product environments
  • Experience with complaint handling systems (e.g., OneTrack)
