Job Title : Legal Secretary

About the Role

We are seeking a skilled Legal Secretary to join a dynamic and fast-paced law firm. This position plays a vital role in supporting litigation attorneys by managing administrative tasks, ensuring seamless court filings, and providing hands-on support with case preparation. The ideal candidate will have strong technical skills, attention to detail, and the ability to work under pressure while maintaining a positive attitude.

Key Responsibilities

• Assist attorneys with drafting, editing, and preparing legal documents, including dictation.
• Perform electronic court filings through systems such as PACER and NYSCEF, ensuring compliance with all deadlines and rules.
• Organize and assemble exhibits, pleadings, and other case-related materials.
• Manage calendars, schedule meetings, and handle correspondence.
• Answer overflow calls and assist with general office communication as needed.
• Conduct routine checks to ensure court filing deadlines and procedures are met.
• Maintain an understanding of key court filing essentials, including the preparation of complaints, answers, motions, subpoenas, and affidavits.
• Uphold confidentiality and maintain professionalism at all times.

Skills & Qualifications

• Prior experience as a legal secretary, particularly in litigation.
• Proficiency in electronic filing systems such as PACER (Public Access to Court Electronic Records) and NYSCEF (New York State Courts Electronic Filing System).
• Knowledge of key court filing terminology, such as complaints, answers, motions, and dockets.
• Strong organizational skills and the ability to manage multiple priorities effectively.
• Excellent written and verbal communication skills.
• A proactive approach with a strong sense of accountability.
• Familiarity with dictation software is a plus.
