Job Description

A leading co-manufacturer globally-inspired food company is looking for a reliable Administrative Assistant or Office Assistant to join our team. This role supports daily office operations while handling light accounting tasks and ensuring smooth workflow.

Responsibilities:

  • Manage calendars, emails, and meeting coordination for office staff.
  • Greet visitors, answer calls, and handle general inquiries.
  • Oversee office supplies, vendor orders, and basic office maintenance.
  • Handle data entry, filing, and document organization.
  • Assist with accounts payable (AP), accounts receivable (AR) , and invoice processing.
  • Enter and maintain records using QuickBooks .
  • Support onboarding paperwork and help with expense tracking.
  • Assist with team meetings, internal communications, and small office events.

Requirements:

  • 2+ years in an administrative or office support role.
  • Strong organizational and multitasking abilities.
  • Comfortable using QuickBooks for basic accounting tasks .
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Clear communication, both verbal and written.
  • Positive, flexible, and proactive attitude.

Preferred:

  • Experience in food manufacturing, CPG, or similar industries.
  • Familiarity with Google Workspace or project management tools.
  • Bilingual in English and Spanish is a plus.
