Job Title: Collections Coordinator/Specialist

Location: Newark, NJ (Hybrid – 4 days in office, 1 day remote)

Salary: $70,000 annually

Reports To: Chief Financial Officer (CFO)

Parking: On-site parking allowance provided

Job Description:

The Collections Coordinator/Specialist is responsible for daily financial tasks related to client payments, lockbox processing, and collections. This role involves direct communication with clients and attorneys, handling delinquent accounts, and maintaining accurate financial documentation.

Responsibilities:

  • Prepare and submit daily cash receipts reports to the CFO.
  • Record AM and PM lockbox wires and checks .
  • Manage W-9 requests and send PDF documentation via fax or email.
  • Act as a liaison between clients and attorneys regarding collections.
  • Handle all collections of delinquent accounts assigned by attorneys.
  • Conduct telephone outreach, send letters, invoice copies , and draft spreadsheets to facilitate payments.
  • Coordinate payment schedules with clients.
  • Respond to client inquiries in a timely manner.
  • Schedule and follow up with clients on outstanding balances.
  • Attend meetings with attorneys to review collection statuses.
  • Notify attorneys when payments are received.
  • Respond to attorney inquiries regarding client payment history and related documentation.

Qualifications:

  • Experience with collections in a professional setting.
  • Proficiency with CRM/accounting platforms such as Aderant, Elite, or 3E .
  • Ability to communicate clearly and professionally with both clients and attorneys.
  • Strong organizational skills and attention to detail.
  • Competence in preparing financial reports and spreadsheets .
