Job Description

Job Title: Human Resources and Office Assistant

Status: Full Time – Non-Exempt

Reporting To: Human Resources Manager

Position Purpose:

The Human Resources and Office Assistant exists to support the Human Resources Department and greater company in tasks of an organizational and clerical nature. This position will also serve as the receptionist at the front desk of Harland’s main entrance.

Responsibilities:

Human Resources:

  • Perform various tasks that support the payroll process
  • Coordinate and prepare onboarding documents, desks, etc. for new hires
  • Support Recruitment responsibilities by managing candidate communication, scheduling interviews, circulating resumes and following up with internal stakeholders
  • Collaborate with the HR team to support the implementation of HR policies, procedures and process improvements
  • Serves as a contact for employees and managers regarding payroll related items
  • Ensure all employees have time entered each pay period and follow up directly with employees
  • Perform administrative duties such as maintaining employee databases, files, various reports and HR related documents
  • Assist in organizing, coordinating and communicating culture and team building events/initiatives
  • Serve as a point of contact for employee inquiries and concerns, providing timely and effective responses and resolutions
  • Maintains confidentiality in handling sensitive employee and company information
  • Prepare and assist with various HR related communications
  • Support the HR department in other related duties as assigned

Office:

  • Serve as the primary receptionist, greeting guests warmly and providing a welcoming environment
  • Ensure the lobby is presentable and comfortable for guests, regularly check and restock snacks and beverages, and maintain a clean refreshment area
  • Answer and screen phone calls, directing them to the appropriate individuals
  • Sort incoming mail and deliver it to the relevant person or department
  • Take inventory, organize, and order basic office supplies for the company
  • Stock and maintain coffee stations throughout the building
  • Ensure conference rooms are presentable and ready for guests and customer visits
  • Run miscellaneous errands
  • Perform other related duties as assigned

Education, Qualifications and Experience:

  • Bachelor’s degree in human resources or related field preferred
  • Previous experience as an HR Assistant, Office Assistant, or Administrative Assistant preferred
  • Strong computer skills (Microsoft Office, Excel, PowerPoint to be specific)
  • Must be a self-starter
  • Must be able to work independently and as part of a team
  • Must have the ability to take direction and follow plans
  • Excellent customer-facing skills (internal and external customers)
  • Must be able to organize, prioritize, and multi-task
  • Communication and attention to detail is essential

Working Conditions and Health & Safety:

  • Heated and air-conditioned office environment
  • Employee is required to use appropriate PPE including, but not limited to, nitrile or latex gloves, lab coat, hair bonnet, shoe covers, beard cover, safety glasses, hearing protection, face shield, or respiratory mask while working in a lab or manufacturing space

Personnel engaged in manufacturing shall obtain training required by ISO 13485, FDA 21 CFR part 820, FDA 21 CFR part 210 & 211, and Harland Medical System’s internal procedures, where deemed appropriate per assigned job functions.

Physical Demands:

While performing the duties of this job, the employee is regularly required to talk and hear. The employee may be required to sit at the computer for long periods of time. The employee frequently is required to sit; stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
